Our client is a high-profile and rapidly growing Buyers Agency, currently onboarding around 50 clients every month. With their fast-paced growth and outstanding reputation, they are seeking an experienced Executive Assistant / Client Services & Manager to support their Directors and deliver a seamless client experience.
About the Role
This is a dual role blending Executive Assistant support with client service coordination. You’ll work closely with the Managing Director and Director, managing diaries, coordinating business operations, and ensuring the business runs efficiently. At the same time, you’ll be the key contact for clients, guiding them through the property journey and ensuring the settlement process runs smoothly. This position has become available as the current team member, who has successfully managed the role for the past five years, is heading off to start a family and will not be returning.

Key Responsibilities
- Provide high-level executive support to the Managing Director and Director, including diary and meeting management
- Act as the main client contact, onboarding clients and guiding them through to settlement
- Liaise with brokers, accountants, referral partners, and internal teams to track client progress
- Conduct welcome calls, issue updates, and coordinate communication between clients and stakeholders
- Prepare reports, track stats, and support weekly meetings
- Assist with onboarding of contractors and employees, contracts, and systems setup
- Organise sales packs, client meetings, and general office requirements
- Manage phone calls, supplier needs, and ad hoc administrative tasks
- Support the Directors with projects and day-to-day business operations
- MUST have a real estate background with a strong understanding of the property & settlement process
- Experience in a Client Services, Executive Assistant, or Operations role
- Exceptional organisational skills with the ability to manage competing priorities
- Excellent communication and relationship-building skills
- Proactive, solutions-focused, and thrives in a fast-paced environment
- Confident working closely with senior leadership
- Competitive salary: $90,000 – $110,000 + bonuses
